Fax Broadcasting Policies

Fax Attax aims to maximise the effectiveness of our clients’ fax communication to business contacts, while minimising inconvenience to the public.

20 Ways Fax Attax Minimises Inconvenience

1. We Identify Ourselves
The Fax Attax name is clearly shown at the base of all the faxes we broadcast – so that the recipient knows who sent it to them.

2. Identify Our Client
We ensure that our client’s name is clearly identified on the fax.

3. Offer an Opt Out Mechanism
The “Fax Attax Disclaimer” on the base of each fax provides recipients with the details required to “Opt Out” of future faxes.

NOTE: Principle 4 of the MA Code of Practice:
4(b).2 Opting out:  In addition to the requirements of the 12 principles of the Privacy Act, consumers must be given the opportunity to 'opt out' of receiving marketing information which they have not requested.  Marketers must have a system in place that enables them to honour such requests.

4. Offer an 0508 Toll Free Number
To make it easy to Opt Out, we provide an 0508 toll free number and voicemail box for people to use to arrange to block their number on our list. 

If the recipient tells us their company’s name and their fax number, we can identify and block their number from future broadcasts.   If the person also leaves their telephone number and a description of the fax that they received, we can respond if we can’t identify their record from their details.

5. Respond to Requests Hourly
The removal voicemail messages are cleared every hour of every business day.  The fax numbers are flagged for “Don’t Fax”. The database takes 24 hours to refresh, but those numbers are permanently blocked.

6. Details Retained
We retain all the “Don’t Fax” Numbers in our database to ensure that we do not inadvertently re-fax to that number in the future.

7. Business Faxes
We only intend to purchase Business Fax data from reputable database list suppliers. Our intention is that we broadcast business information for commercial purposes to business faxes.

We take all reasonable steps to avoid faxing to home faxes. If a home fax receives a broadcast, recipients can call us to arrange to have their number blocked on our database list.
 
8. Up to Date
We seek to refresh and update our database list on an annual basis, to try to capture changes and reallocation of business fax numbers.

9. Limited Off Peak Broadcasts
To minimise the chances of faxing to homes, and to maximise the effectiveness of the fax broadcast, we strongly recommend to our clients that they broadcast in peak periods – which increases the chances the faxes will get directly into the hands of key business decision makers.

10. Classified Database
We use Regions and Standard Industry Codes to classify our fax numbers into locations and industry types.  This enables our clients to select the most relevant businesses for their information, maximising their broadcast effectiveness, and minimising fax traffic to businesses that may certain kinds of information irrelevant.

11. Further Selectivity Refinements
We’re currently investigating whether modifications to the database software can be made to enable fax recipients to opt-out of only certain categories of broadcasts, but remain on the list for others.  That way they can receive the most relevant information to them.

12. Low Density Images
Using low density images in our clients’ communication reduces the time and impact on the recipients’ fax machines.

13. Fair Trading Act
Although our clients are responsible for ensuring their communication complies with the Fair Trading Act, Fax Attax reserves the right to refuse to broadcast material, if we believe it contravenes the provisions of the Act.

14. Marketing Association
We are a member of the Marketing Association of NZ (formerly the Direct Marketing Association of NZ)

15. Alignment with Code of Practice
Even prior to membership of the Marketing Association, Fax Attax policies regarding fax broadcasting already closely align with the 5 core principles of the MA of NZ

16. Advocate Application of Code of Practice
We advocate the application of the “Telephone Marketing” standards (as described in the Marketing Association’s Code of Practice, Principle 5 (b)) to “Fax Marketing” as a method of Direct Marketing not directly covered in those principles at present.   We further advocate for compliance with those standards across the whole Fax Marketing industry.

17. Malicious Calls
Fax Attax has always had a warm working relationship with the Malicious Calls team at Telecom to identify numbers that need to be flagged to avoid ongoing nuisance for unintended recipients.

18. Recipients become Clients
Many of Fax Attax’ regular clients have come to us via the Disclaimer at the foot of the faxes.  These clients found that receiving a Fax Attax fax was not a hindrance to their business operation, but it was in fact, a useful tool to help them build their business. 

19. Fax Attax Grows Businesses
Several clients directly attribute the growth of their business to the targeted fax broadcasting services provided by Fax Attax.  These businesses have grown significantly and have been able to expand their employment base.
